Responsibilities
  • Provide document production and specialisation support to all JSM offices
  • Manage various document production tasks, including editing, fresh typing, document comparison, document formatting, document pagination, infographics, and converting numbers into charts/tables, OCR, perform CD/DVD/USB burning, document packaging, electronic filing, scanning and bulk printing
  • Oversee the processing of real estate documents to ensure accuracy and compliance
  • Facilitate clear and concise handover of tasks between dayshift and nightshift to ensure continuity
  • Coordinate daily tasks and maintain good relationship with all stakeholders to promote collaboration
  • Bring in market best practice to enhance the firm's operations and service delivery
  • Provide ongoing training to staff, focusing on both soft and hard skills to enhance team competency
  • Flexible to work afternoon/night and weekend shifts, including overtime on weekdays, weekends, or public holidays as needed
  • Flexible to work in different locations as required
  • Establish and maintain knowledge transfer, key role succession, and retention plans
  • Execute other tasks as assigned 
Qualification / Person Specification
  • Form 5 or above with a minimum of 8 years of relevant experience in a sizeable company is preferred
  • Strong literate skills in MS Office, with excellent command in PC operations, Word, Excel, PowerPoint, and Chinese Word Processing
  • Good verbal and written communication skills in both English and Chinese (including Putonghua)
  • Strong interpersonal & presentation skills, good analytical and problem-solving skills
  • Fast and accurate typing skills in both English and Chinese
  • Attentive to details with proven ability to produce accurate work and meet tight deadlines
  • Able to escalate issues to line managers when necessary
  • A self-motivated, pro-active and enthusiastic good team player
